Refund Policy

1. Overview

VoiceCentra LLC strives to provide an exceptional AI phone receptionist experience. This Refund Policy explains when refunds are available and how to request one. By subscribing to VoiceCentra, you agree to this policy.

2. Subscription Refunds

Monthly Subscriptions

  • Monthly subscriptions are non-refundable once the billing period has started.
  • You may cancel at any time; access continues until the end of the paid period.
  • No prorated refunds are issued for unused days in a monthly plan.

Annual Subscriptions

  • Annual subscribers may request a refund within 14 days of the initial purchase date.
  • After 14 days, annual subscriptions are non-refundable.
  • If cancelled within the 14-day window, a full refund will be issued minus any transaction fees.

3. Free Trial

  • No charge is made during the free trial period.
  • If you cancel before the trial ends, you will not be charged.
  • If you do not cancel before the trial ends, your payment method will be charged and standard refund terms apply.

4. Exceptions — When Refunds May Be Granted

Outside the standard policy, we may issue refunds in the following circumstances at our sole discretion:

  • Significant service outages exceeding 72 consecutive hours caused solely by our infrastructure.
  • Duplicate charges caused by a billing system error.
  • Charges made after a confirmed cancellation request (with written confirmation).
  • Accidental subscription renewal within 48 hours of the renewal date, where service has not been substantially used.

5. Non-Refundable Items

  • Setup fees and onboarding fees (if applicable).
  • Add-on features or usage overages beyond your plan limits.
  • Charges incurred due to your failure to cancel before a renewal date.
  • Accounts suspended for Terms of Service violations.
  • Partial billing periods for plan downgrades.

6. How to Request a Refund

To request a refund, contact our support team within the applicable window:

  • Email: support@voicecentra.ai
  • Subject line: "Refund Request — [Your Account Email]"
  • Include: your account email, subscription plan, charge date, and reason for the request.

We will review and respond within 5 business days. Approved refunds are processed to the original payment method within 5–10 business days, depending on your bank.

7. Chargebacks

If you initiate a chargeback with your bank before contacting us, we reserve the right to:

  • Suspend your account immediately pending investigation.
  • Dispute the chargeback with documented billing evidence.
  • Permanently terminate your account if the chargeback is found to be fraudulent.

We encourage you to contact us first — most billing issues can be resolved quickly without a chargeback.

8. Plan Changes

  • Upgrading: the price difference is charged immediately on a prorated basis.
  • Downgrading: takes effect at the next billing cycle; no credit is issued for the current period.
  • Switching from annual to monthly requires cancellation and re-enrollment; refund terms above apply.

9. Cancellation Process

To cancel your subscription:

  • Log in to your VoiceCentra dashboard → Settings → Subscription → Cancel Plan.
  • Or email support@voicecentra.ai with your account details.
  • You will receive a cancellation confirmation email. Retain this for your records.
  • Access continues until the end of the current billing period.

10. Changes to This Policy

VoiceCentra LLC reserves the right to modify, update, or replace this Refund Policy — including refund eligibility, timelines, and amounts — at any time and for any reason, without prior notice. Changes are effective immediately upon posting to our website. Subscriptions already active at the time of a change will be subject to the new policy from the date of posting. It is your responsibility to review this Policy before each billing cycle.
